Order Management Manager
Austin · Full time · Posted 2H AGO
As the Order Management Manager at Stampli, you lead the Order Management function, covering the Order-to-Cash lifecycle. This will include the Closed Won process, entitlements management, portal set up, manual adjustments, and data management across many tools and systems. You will ensure only fully executed and completed transactions are recorded as Closed Won and that information is accurate, complete, and passed across various places so we can keep our customer entitlements accurate.
You will partner closely with Deal Desk, ensuring you are trained in each other’s tools, processes, and ways of working, providing resiliency for each other. You will partner closely with members of RevOps, Finance, AI Operations, and Business Applications to ensure we systematize a well run process, we can build automation and efficiency where possible, and that you can keep a consistent and well managed queue in place to organize your work. Our goals are to decrease work that can/should be automated, to solve problems upstream where possible, and to scale our output over time.
As the first full-time Order Management headcount at Stampli, you will take over work from various team members who are performing pieces of the job today. You will bring a different SLA, level of focus, level of precision, and experience to the work being done today. As a result, you will help us transform the current state process to something more industry standard and built for purpose. You will be able to see returns from your work very quickly, both in process improvements you are able to drive, and in returning capacity to the teams who were previously doing the work.
- Manage the Close process for all types of deals (New, Expansion, Renewal, Contraction, Churn, etc). Ensure full accuracy and completeness of all elements of a deal before moving to Closed Won. Manage any post-Close edits that may be necessary over time
- Entitlements management within Stampli’s back end administration tools. This includes creating Customer Accounts, managing product entitlement details, issuing payment links, etc
- Overhaul the existing Closed Won process and flow. Partner with Systems Administrators and Sales Leaders to implement upstream safeguards and data requirements that will improve our Closed Won process
- Partner with Finance to improve the organization and entry of data used for financial reporting and commissions payments during the Closed Won process
- Implement and optimize a ticketing system that manages all of your work. Ensure most tickets can be automatically triggered rather than manually entered. Enforce full compliance with the ticketing system. Use the data collected from the tickets to propose process improvements and automation
- Partner closely with Deal Desk. Cross train in each other’s work and provide flex capacity and eliminate single points of failure in each other’s roles, particularly during end of month, end of quarter and other peak periods
- Build and maintain detailed process documentation for each of the various workflows you support
- Ensure 99%+ accuracy on processed tickets. Keep a high bar for level of quality, inspection, accuracy, etc. Implement checks-and-balances for your own work to ensure necessary steps have been taken before closing out tickets. Leverage the AI Ops team’s expertise to help self audit work, automate mechanical steps in the process, etc
- 5+ Years of experience in Order Management, Deal Desk, or similar functions supporting the Quote-to-Cash and Order-to-Cash lifecycle
- Fluency in order operations and the ability to distill complex processes into actionable tasks
- High attention to detail in all that you do
- Tight SLA management for the tickets you work
