📍 Location: Tokyo | Work Model: Hybrid | Employment Type: Part-Time (10 hours per week, Monday–Friday) | Indefinite-Term Contract
We’re looking for a proactive, detail-oriented, and highly organized Support Agent/ Administrative & Operations Assistant to join our Candlelight team—working behind the scenes to bring magical experiences to life across Japan, while being based in Tokyo.
This role focuses on ensuring that all administrative, documentation, and operational processes behind our events run smoothly. You’ll play a key role in maintaining accurate documentation, supporting financial administration, coordinating with external partners, and ensuring event information meets our quality standards.
The ideal candidate is highly organized, hands-on, comfortable taking ownership of tasks, and able to work autonomously in a fast-paced, international environment.
What You’ll Do
Documentation & Administrative Management
- Prepare and manage purchase orders and maintain accurate administrative documentation.
- Communicate with external partners to clarify information and resolve discrepancies.
Finance & Operational Support
- Review supplier invoices and support invoice submission and payment-related processes.
- Maintain accurate financial records and coordinate with relevant teams to ensure smooth processing.
Internal Coordination
- Coordinate with internal teams to support daily operations and administrative workflows.
- Follow up on pending tasks, deadlines, and requests to ensure processes stay on track.
Quality Assurance
- Review event plan pages to ensure information is accurate and consistent.
- Identify missing information or discrepancies and coordinate corrections with the relevant teams.
What You Bring
- Fluent Japanese proficiency, with strong written and verbal communication skills.
- Good working proficiency in English to communicate with international teams and follow internal processes.
- Experience in administrative support, operations, finance administration, vendor management, or a similar role.
- Attention to detail and the ability to identify errors, inconsistencies, and missing information.
- Strong organizational skills, with the ability to manage multiple workflows, deadlines, and priorities.
- Comfort working with spreadsheets and digital tools, such as Google Workspace, Excel, or similar platforms.
- A proactive, reliable, and solution-oriented mindset, with the ability to work independently while collaborating with cross-functional teams.
Nice to Have
- Background in events, production or the music industry
- Experience in administrative-heavy environments
- Familiarity with tools like Airtable, Notion, Monday, or similar

仕事内容
世界各地で多彩なエンターテインメント体験を提供するFeverでは、日本国内で開催するイベントの運営をバックオフィスから支えていただく、事務・オペレーションアシスタントを募集しています。
担当いただくのは、キャンドルの灯りに包まれたクラシックコンサート「Candlelight（キャンドルライト）」をはじめとする、Fever Originalsのイベント運営に関する事務業務です。
日本チームのプロジェクトマネージャーと連携しながら、発注書の作成、請求書の確認、取引先との連絡調整、イベント情報のチェック、各種管理データの更新など、日々の運営を支える業務をお任せします。
複数のイベントが並行して進む環境のため、一つひとつの業務を正確に進めることはもちろん、進捗や期限を把握し、必要な確認・フォローアップを行うことが大切なポジションです。
イベント業界での経験は必須ではありません。
事務経験を活かしたい方、細かな確認や整理が得意な方、周囲とコミュニケーションを取りながら主体的に仕事を進められる方を歓迎します。
なお、主にオフィスや在宅で行う事務・運営サポート業務であり、イベント当日の現場運営を中心とする職種ではありません。
主な業務内容
1. 発注・書類管理
- 会場、出演者、外部スタッフ、各種業者に関する発注書の作成・発行手続き
- 契約書や発注書などの管理、締結・発行状況の確認
- 必要書類の回収、不備の確認、関係者へのフォローアップ
- 社内管理システムへの情報入力、データ更新、ファイル整理
2. 請求書・支払関連の事務サポート
- 取引先から届く請求書の確認
- 発注内容、金額、日付、取引先情報などの照合
- 請求内容に不備や相違がある場合の確認・連絡
- 社内経理担当者への請求書提出、支払申請に関する事務手続き
- 提出状況や処理状況の管理、未対応事項のフォローアップ
※経理業務全般や会計判断を担当するポジションではありません。
3. 取引先との連絡・調整
- イベント会場、出演者、スタッフ派遣会社、機材・物流業者などとの日常的な連絡
- 公演に必要な情報や書類の確認・収集
- 出演者や外部スタッフの手配に関する事務補助
- 各種確認事項の進捗管理、関係者へのリマインド
- 必要に応じた見積書・取引先情報などの取りまとめ
4. イベント情報のチェック・更新
- Feverのイベント販売ページに掲載する情報の確認
- 日本語のイベント紹介文、開催日時、会場情報、出演者情報、注意事項などのチェック
- 誤字脱字、情報の不足、内容の不一致などの確認
- 関係部署への修正依頼、対応状況の確認
- 指定された内容に基づく情報更新やデータ入力
5. チーム内の事務・運営サポート
- イベント計画表や各種管理シートの更新
- 業務の進捗状況、期限、未対応事項の管理
- 社内外の必要情報の整理・共有
- その他、イベント運営に付随する事務・バックオフィス業務
担当業務は、ご経験や習熟度に応じて段階的にお任せしていきます。
応募資格・必須条件
- 日本語での円滑なコミュニケーション能力（ビジネスメール、電話対応など）
- 一般事務、営業事務、経理事務、受発注業務、運営事務など、何らかの事務・管理業務の実務経験
- ExcelやGoogleスプレッドシートなど、基本的なPCツールの操作スキル
- 数字や文章、日付などを正確に確認・入力できる方
- 複数の業務を整理し、優先順位や期限を意識して進められる方
- 社内外の関係者と丁寧に連絡・調整ができる方
- 新しいツールや業務フローを学ぶことに抵抗がない方
英語力は必須ではありません。
社内システムや資料の一部に英語が使用されていますが、翻訳ツール等を活用しながら業務を進めていただけます。
